This Privacy Policy explains how Sundown Digital Solutions (“CollabScene”, “we”, “us”) collects, uses, shares, and protects personal information when you use the CollabScene website and services (the “Platform”). By using the Platform you agree to this Privacy Policy.
This policy is published in compliance with the Information Technology Act, 2000, the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, and the Digital Personal Data Protection Act, 2023 (“DPDP Act”).
1. Who we are
CollabScene is operated by Sundown Digital Solutions. For the purposes of the DPDP Act, Sundown Digital Solutions is the Data Fiduciary responsible for personal data processed through the Platform.
2. Information we collect
We collect the following categories of personal information:
Account information
- Email address used to sign in
- Display name
- Profile photo or brand logo (if you upload one)
- Role (creator or brand)
Profile information you provide
- For creators: handle, niches, content formats, languages, location, social platform handles, portfolio links, rates and availability if shared
- For brands: company name, industry, website, company size, location, brand description and logo
Marketplace activity
- Briefs you post or apply to
- Applications and messages exchanged with the other side
- Notifications you generate or receive
Technical and usage data
- IP address, browser type, device information
- Pages visited and broad usage analytics
- Cookies and similar technologies (see Section 7)
We do not knowingly collect government-issued identification or sensitive personal data unless you explicitly provide it for a specific purpose (for example, future paid features that may require identity verification).
3. How we use information
We use personal information to:
- Operate and improve the Platform
- Match creators and brands by surfacing relevant briefs, profiles, and applications
- Authenticate users and keep accounts secure
- Send transactional messages (sign-in, application status, messages from the other side, billing if and when applicable)
- Communicate product updates and pricing changes (you can opt out of non-transactional emails at any time)
- Investigate misuse, prevent fraud, and comply with legal obligations
4. How we share information
We do not sell personal information. We share it only as described below:
Between matched users
When you apply to a brief or accept an application, the brand and the creator see each other’s profile and the messages they exchange on the Platform.
With service providers
We use third-party processors strictly to operate the Platform. For example, Supabase for database and authentication, email delivery providers for transactional email, and (in future) Razorpay for payment processing. These processors are contractually bound to use personal information only for the services they provide to us.
For legal reasons
We may disclose information when required to comply with applicable law, a valid legal request, or to protect the safety, rights, or property of CollabScene, our users, or the public.
5. Data retention
We retain personal information for as long as your account is active and for a reasonable period afterwards to comply with legal obligations, resolve disputes, and enforce our agreements. When you delete your account, we delete or anonymise your personal data within a reasonable period unless retention is required by law.
6. Your rights
Subject to applicable law, including the DPDP Act, you have the right to:
- Access the personal information we hold about you
- Correct inaccurate or incomplete information
- Request deletion of your account and associated personal information
- Withdraw consent where processing is based on consent
- Lodge a complaint with our Grievance Officer or, if applicable, with the Data Protection Board of India

7. Cookies & tracking
We use a small number of strictly-necessary cookies to keep you signed in and to remember basic preferences. We do not use third-party advertising cookies. If we add analytics cookies in the future, we will update this policy and surface a cookie notice before activating them.
8. Security
We implement reasonable security practices and procedures consistent with the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules, 2011, including encryption in transit, access controls, and regular review of our infrastructure. No system is perfectly secure; if you believe your account has been compromised, email us at support@collabscene.com.
9. Children
CollabScene is not intended for users below 18 years of age. We do not knowingly collect personal information from children. If we discover that we have collected personal information from a child, we will delete it promptly.
10. Changes to this policy
We may update this Privacy Policy from time to time. Material changes will be communicated via email or an in-product notice before the change takes effect. The “Last updated” date at the top reflects the most recent revision.
